TG Empire (Private) Limited ("TG Empire", "we", "us", "our") is committed to protecting the privacy and personal data of all individuals who interact with our services. This Privacy Policy explains how we collect, use, store, share, and protect your personal information in accordance with the Data Protection Act [Chapter 11:12] of Zimbabwe (2021) and any regulations made thereunder.

By using our website, submitting an enquiry, or entering into a rental or consulting agreement with TG Empire, you consent to the collection and processing of your personal data as described in this policy.

2. Personal Data We Collect

We collect personal data that you provide directly to us and data generated through your use of our services:

2.1 Identity and Contact Data

  • Full name, national identity number or passport number
  • Email address, telephone number, and physical address
  • Driver's licence number, class, and expiry date
  • Date of birth (where required for rental eligibility)

2.2 Transaction Data

  • Rental booking details including dates, vehicle selected, and rental duration
  • Payment information (we do not store full card numbers; payments are processed through secure channels)
  • Records of deposits paid and refunded

2.3 Communication Data

  • Messages sent through our website contact form
  • Email correspondence with our team
  • Telephone call records (where calls are logged for quality purposes)

2.4 Technical and Usage Data

  • IP address, browser type, and device information
  • Pages visited on our website and search queries entered
  • Referral sources and session duration

3. How We Use Your Personal Data

We process your personal data for the following purposes, each with a lawful basis under the Data Protection Act:

  • To fulfil a contract: Processing bookings, issuing rental agreements, calculating charges, processing deposits and refunds.
  • Legal obligation: Verifying driver eligibility under the Road Traffic Act [Chapter 13:11], complying with ZIMRA tax obligations, and cooperating with law enforcement where legally required.
  • Legitimate interest: Preventing fraud, managing vehicle security, sending service-related communications, and improving our website and service quality.
  • Consent: Sending promotional offers and newsletters where you have opted in. You may withdraw consent at any time.

4. Disclosure of Personal Data

We do not sell your personal data. We may share your data with the following categories of recipients only to the extent necessary:

  • Service providers: IT infrastructure and website hosting providers operating under confidentiality obligations;
  • Insurance providers: Where required to process an insurance claim in connection with a rented vehicle;
  • Government authorities: Zimbabwe Republic Police, Zimbabwe Revenue Authority (ZIMRA), or the Vehicle Inspection Department (VID) where disclosure is required by law or court order;
  • Professional advisers: Legal counsel or auditors, bound by professional confidentiality duties;
  • Debt recovery agents: Only in the event of unresolved outstanding balances, and in compliance with the Debt Collection Act [Chapter 14:11].

5. Cross-Border Data Transfers

Where your personal data is processed or stored outside Zimbabwe (for example, on cloud infrastructure hosted abroad), we ensure that adequate safeguards are in place consistent with the requirements of the Data Protection Act, including data processing agreements with international service providers.

6. Data Retention

We retain personal data only for as long as necessary for the purposes for which it was collected, or as required by Zimbabwe law:

  • Rental agreement records: minimum 6 years (in line with statute of limitations for contractual claims under the Prescription Act [Chapter 8:11])
  • ZIMRA tax records: minimum 6 years
  • Contact form enquiries that did not result in a booking: 2 years
  • Marketing consent records: until consent is withdrawn plus 1 year

Upon expiry of the applicable retention period, personal data will be securely deleted or anonymised.

7. Your Rights Under the Data Protection Act

As a data subject under the Data Protection Act [Chapter 11:12], you have the following rights, subject to applicable exemptions:

  • Right of access: To request a copy of the personal data we hold about you;
  • Right to rectification: To request correction of inaccurate or incomplete data;
  • Right to erasure: To request deletion of your data where there is no longer a lawful basis for its retention;
  • Right to restrict processing: To request that we limit how we use your data in certain circumstances;
  • Right to object: To object to processing based on legitimate interests or for direct marketing;
  • Right to data portability: To receive your data in a structured, commonly used format where processing is based on consent or contract;
  • Right to withdraw consent: Where processing is based on consent, you may withdraw it at any time without affecting the lawfulness of prior processing.

To exercise any of these rights, submit a written request to info@tgempire.co.zw. We will respond within 30 days. If you are dissatisfied with our response, you may lodge a complaint with the Postal and Telecommunications Regulatory Authority of Zimbabwe (POTRAZ), which oversees data protection matters, or seek relief through the courts.

Our website may use cookies and similar tracking technologies to improve your browsing experience, analyse site traffic, and remember your preferences. You may control cookie settings through your browser. Disabling cookies may affect the functionality of certain website features.
